How optometry practices use RecallQ.
- Imports a CSV export from your practice software (no live connection)
- Send on each patient's own schedule, or around their rebate reset: put that date in the recall due date (there is no separate rebate field)
- Any recall interval: each patient is recalled on the recall due date in your CSV (a last-visit date alone means six months later)
- Recalls you can date in your CSV (paediatric, diabetic review, contact lens) are sent on those dates; every patient gets the same rules and wording
A 2,000-patient optometry practice on two-year recalls has about 83 recalls due each month. Does it integrate with Optomate / Sunix / iCare?
No live integration yet — you export a CSV from your practice software. RecallQ recognises a fixed list of common column headings and ignores the rest, so you may need to rename a heading before you upload. Replies appear on your Replies and Today pages; patients who say yes are listed on Today for your team to book in your own software.
Can it reference private health rebate expiry dates?
No. RecallQ has no rebate field and a message cannot quote a patient's rebate date. If you put the renewal date in the recall due date in your export, RecallQ sends on that date, or the number of days before or after it that your rule sets.
How does it handle different recall windows?
If your export has a recall due date for each patient, each patient is recalled on their own date, so 6-month, 1-year and 2-year patients can share one file. If it has only a last visit date, RecallQ sets the recall date six months after it.
Can it send diabetic retinal screening recalls?
Not separately. RecallQ has no patient-type field, and every recall rule applies to every patient. If your export gives those patients their own recall due dates they are messaged on those dates, with the same wording as everyone else.
Will it work with my practice's frame promotions?
RecallQ is built for recall messages only and has no promotion feature. It doesn't check the wording you write, so keeping it to the recall is your responsibility; promotional text needs its own consent under the Spam Act.
How does setup work?
Setup is self-serve: create an account, confirm your email, add your practice's ABN, address and sender name, choose a plan and pay, write a first rule and upload your CSV. Reminders go out on the days your rules set around each patient's due date.
